September has a way of disappearing fast, and by the time AEP opens, most agents wish they had started their prep a few weeks earlier. The 30 days between now and Oct. 15 matter more than almost any other stretch of your year, and a handful of focused moves in that window can set up a much smoother season. None of them require you to be a marketing expert. That is what our team is here for.
1. Finish Your Certifications and Confirm Carrier Appointments
Start with the basics. If you have not finished your AHIP certification and carrier-specific training for 2027, that comes first, before anything else on this list. Once compliance training is done, work through product certifications for each MA, MAPD, and PDP carrier you are appointed with, and confirm your carrier appointments are active well before Oct. 15.
This is exactly the kind of thing your FMO should be tracking with you. Carolina Senior Marketing’s Agent Hub keeps carrier certification instructions, contracting steps, and staff contact information in one place, and our contracting team can help confirm your appointments and writing numbers so nothing slips through before Oct. 15.
2. Map Out Your Compliant Marketing Calendar
Know your marketing calendar before you build anything. Under CMS regulations, Medicare Advantage and Part D organizations may begin marketing next year’s plan offerings on Oct. 1, two weeks before the Annual Enrollment Period itself opens on Oct. 15, provided materials clearly indicate which plan year they describe. Anything you send before Oct. 1 needs to stay educational, general information about what AEP is and when it happens, rather than promotion of a specific plan’s benefits. Mapping this out now keeps you from accidentally publishing something too early.
You do not have to track these dates alone. Carolina Senior Marketing sends agents timely updates throughout the season on what is compliant to send and when, and our marketing team is always available to double-check a piece before it goes out the door.
3. Audit and Refresh Your Marketing Materials
Flyers, mailers, business cards, and their digital counterparts, such as display ads and social posts, all need a look before the season ramps up. If anything references last year’s plan details, star ratings, or a rule that has since changed, fix it this week, not in November.
Our in-house marketing team can review your existing materials for compliance and refresh anything that needs an update, whether that is a mailer, a social graphic, or your email templates, so you are not guessing at what still holds up.
4. Review Your Book of Business Against ANOCs
It is tempting to focus all of your energy on new leads, but your current clients are your best source of both retention and referrals. Reviewing each client’s plan against their Annual Notice of Change and proactively scheduling a review conversation, especially with anyone who seems likely to shop around, builds trust and often surfaces a referral before AEP even opens.
Reaching your whole book at once does not have to mean calling every client individually. IntegrityCONNECT‘s Client Connect feature lets you send compliant marketing messages by email or text to your entire book in one push, including a reminder about ANOC letters and a note to watch for scams, so your personal follow-up calls can go to the clients who need them most.
5. Clean Up Your CRM and Lead Sources
Agents who track where their business actually comes from- referrals, seminars, digital campaigns- gain a real advantage once AEP volume picks up, because they know where to focus their time instead of guessing. If your system is more of a spreadsheet you meant to update in July, this is the week to clean it up.
Your PlanEnroll Personal Agent Website feeds directly into IntegrityCONNECT, so client information gathered there lands right in your CRM instead of a separate spreadsheet. IntegrityCONNECT tracks a client snapshot, recent activity, and next steps in one dashboard, which makes it easier to see where your referrals, seminar leads, and digital campaigns actually stand once AEP volume picks up.
6. Activate Your Referral and Warm List
Lean on your warm list before you spend a dollar on cold leads. Referral relationships built over the year consistently outperform cold outreach once AEP begins, since a referred prospect already trusts you before the first call. Perhaps the best way to gain new business is simply making sure your current clients know you are eager to help their friends and family, too.
A short round of thank-you-for-your-business outreach now, with a mention that you are taking new clients turning 65 this year, can pay off well into December. Including a Calendly link in that outreach makes it easy for a referral to book time with you directly, with no back-and-forth required.
7. Strengthen Your Online Presence
Before the season gets busy, take a pass through the places prospects find you online. Update your Google Business Profile, confirm your website reflects your current certifications and service area, and check that your directory listings are accurate. Agents searching for local Medicare help increasingly start with a search engine before they ever pick up the phone, so a current, easy-to-find profile does real work for you before AEP even opens.
Every Carolina Senior Marketing agent has a Personal Agent Website through PlanEnroll, which is fully integrated with IntegrityCONNECT. Keeping that link current and sharing it anywhere you show up online gives prospects a professional, easy way to reach you, and anything they submit flows straight into your CRM.
Just as important, make sure you’re active on the social platforms where local consumers ask questions and look for recommendations. A professional presence on LinkedIn, Facebook, and Nextdoor helps establish credibility and keeps you visible within your community. During AEP, many Medicare-eligible individuals turn to neighborhood groups and online networks for guidance before speaking with an agent. By sharing educational content, answering general questions, and participating in conversations compliantly, you can position yourself as a trusted local resource when consumers are actively evaluating their Medicare options.
8. Build Your AEP Content Calendar
Once you have mapped your compliant marketing window, put actual dates on it. Plan out the emails and social posts you want to send starting Oct. 1, and draft as much as you can now while you have the time to get it right. Building the calendar in September means you are publishing on schedule in October instead of writing content the morning it needs to go out.
9. Confirm Your Scope of Appointment Process and Test Your Tools
A Scope of Appointment is still required before any personal marketing conversation about Medicare Advantage or Part D plans. What has changed is the timing: under the CMS rule that applies to 2027 marketing beginning Oct. 1, 2026, the mandatory 48-hour waiting period between a signed SOA and the appointment is gone, so you can move into the conversation the same day. The requirement to document the SOA in writing has not changed, and CMS is still watching this closely, so confirm your process is compliant rather than assuming last year’s approach still applies.
While you are at it, test your quoting and enrollment tools well before Oct. 15. A glitch discovered on day one of AEP costs you far more time than the same glitch caught in September.
IntegrityCONNECT is built to handle both of these in one place. You can collect a Scope of Appointment electronically, run prescription and provider quotes, and complete enrollments face-to-face or virtually, all from the same login. It is worth logging in and testing now so you are not troubleshooting on day one.
10. Block Your Calendar and Protect Your Bandwidth
Block your calendar in a way that leaves room for the volume of appointments AEP tends to bring, and build in actual breaks now, before the season gets away from you.
You cannout pour from an empty cup. Prioritizing rest during a busy season is what helps you maintain perspective and momentum all the way through December.
Leaning on your FMO for the details, quoting tools, lead support, and compliance checks is part of what makes that rest possible. None of this needs to happen alone. Thirty focused days now buys you a much calmer AEP.
